RE:Renewal of Agreement for ESRI Software

REQUEST:

The action being requested of the City Council is to review and consider the approval of the attached proposal to enter into an Enterprise Agreement with Environmental Systems Research Institute, Inc. (ESRI). The proposed amount is estimated not to exceed $29,300.00 within the fiscal year 2023-2024.



DISCUSSION:

The ESRI agreement is a Small Municipal and County Government Enterprise Agreement (SGEA) and is a three-year commitment.

 

An EA will provide numerous benefits including:

·  A lower cost per unit for licensed software

·  Substantially reduced administrative and procurement expenses

·  Complete flexibility to deploy software products when and where needed.

 

ESRI also provided a Sole Source Letter which is an attachment in your packet. The agreement will grant city access to ESRI term license software which is utilized by Public Works and the Development departments who currently utilize GIS Software for mapping data and managing utility inventory information. The pricing for this agreement will be the recommended amount each year for the next 3 fiscal years.



RECOMMENDATION:

The approval of entering into this agreement is recommended.



BUDGET/FISCAL IMPACT:

The funding source for this purchase will come out of the Technology Solutions 23/24 budget for Software Licenses/Support account code 102445225.
