REQUEST:
The action requested it to have the City Council consider for approval the purchase of Fuel Master Software by Syn-tech Systems and corresponding budget amendment. The attached proposal from Veterans Fuel Management is to purchase Fuel Master, which is a fuel management system, in the amount estimated not to exceed $39,920.00.
DISCUSSION:
Fuel Master is a cloud-based fuel application and would be replacing our current OPW system. OPW is an older application that we currently use for fuel management for city vehicles. The OPW is a server that is on one of our in-house servers that is running older software and outdated server hardware technology. Over the past few years there have been many issues with the database and operation of the system. The Fuel Master system being a cloud application provides better storage and disaster recovery capabilities. Fuel Master has more of a modern interface and is much more user friendly. Fuel Master provides more advanced features than our current system because it has better reporting, and you can generate tracking statistics on fuel usage.
RECOMMENDATION:
The approval of this purchase for $39,920.00 and corresponding budget amendment.
BUDGET/FISCAL IMPACT:
Funding for this project is identified in fleet reserves which is attached in the budget amendment. We are also able to make this purchase using piggy backing, under the Sourcewell contract solicitation number: 092020.
